Meeting record-keeping obligations while winding down: a NetSuite archive for an education provider

A health-sector training provider in Australia was concluding its operations and decommissioning NetSuite. Its financial records had to be retained and retrievable long after the account closed, and the first route it explored for getting them out was not able to support what it needed at a cost it could justify.

We were delighted with their transparency, honesty, and fantastic communication. Very punctual and high quality outcomes.

The situation

When a company concludes its operations, its financial records do not stop being needed. This provider had to retrieve everything from NetSuite to meet its record-keeping obligations, and any lapse would have carried regulatory and operational consequences. The team it had first worked with could not support the extraction it needed, and the associated costs were, in the CIO's words, exorbitant. It went looking for a third party able to extract the data for long-term storage.

What Blueacrobat did

Blueacrobat provided an alternative route to the same result: all the necessary financial data retrieved, and archived in a secure and accessible form for future retrieval and audit readiness. The work was done with one assigned person, closely with the provider's in-house team, over virtual meetings and email.

The outcome

The CIO lists four results: substantial cost savings against the option first quoted, a successful extraction of all the necessary financial data, long-term archival with future retrievability, and positive feedback from the finance and IT departments. On project management they describe regular updates, proactive communication of anything that might become an issue, adherence to the agreed timeline, flexibility where the company's circumstances required it, and feedback taken on board as the project ran.

In their words

  • “Their expertise and collaborative approach played a pivotal role in the successful extraction and long-term archival of our data.”
  • “Extremely good value, considering costs associated with NetSuite usually.”
  • “Fantastic from start to finish.”
  • “Would definitely recommend to others.”

Extraction gets the records out; the archive is what keeps them producible for an auditor years later. This provider used AcroXtract for the extraction and the DBVault platform for the archive.
